While transitioning your business to a digital firm, you’ll need to capture information in digital format rather than physical document. In this paperless environment, there is no other option than to obtain information digitally. The clients need to provide their information in digital format through email, digital fax, or through a portal. Since now, email has been the most frequent tool for most clients. They are comfortable with attaching spreadsheets and files to emails and sending them to firms. But some security concerns will insist users on the transition towards portals. The industry portals have now become more secure and reliable platforms for sending information. In this method, users can easily access and save files into the firm’s file storage applications.

AAA 2013 Survey shows that “82% of industries request clients to prepare audit documents and deliver them in a digital format.” While clients have no issue sending information to the firm via email, the information is sometimes confidential. Taking such privacy and confidentiality concerns in mind, firms need to create portals for users. The clients should log in to these firm-controlled portals via email passwords or email encryption. According to the 2020 CPAFMA IT Survey, “Applications that encrypt emails such as Citrix ShareFile and paperless SafeSend are a better solution.” A secured connection with the client may be costly, but you can be sure of efficiency and security.

While firm portals are a preferred delivery solution, some clients may bring information in documents or USB flash drives. The reasons can be inadequate internet access or others. Firms should make concrete efforts to stop clients from using thumb drives as they could bring malware to the firm’s network. While receiving physical media, firms should have a procedure to scan the files before loading them thoroughly. After loading files, firms should return media to the clients immediately. The best solution for avoiding any risks or security concerns is to teach your clients how to deliver digitally. Some firms have documented it on their website, while many arrange seminars to provide training.
